1. Meeting called to order : 7:15
2. Minutes of the 2022 AGM
Motion to Approve. Seconded by. Michelle and Peter
3. Presidential Address – Giri
4. Year End Financial Statement – Kunal
• Hanson asked if this is a meeting we will talk about budget. Kunal – no next year
• Can we save money by NOT using PayPal. It is what people are used to. Board can discuss other options before opening next year.
• Motion to approve financials – Peter and Laura
5. City Liaison and Grounds
• biggest issue is the state of the court
• City didn’t have budget this year to do but they promised for next year
• The original plan would have us living with court for another year or so but given state we have a chance to start digging Oct 2024.
• Risk will be 2025 tennis season may start later than usual 1st week of May.
• Each time we roll courts city is paying $4000. Thus, 2x done they paid $8000 on our behalf
• Court 3 is the worst with 2 bulges from trees – bulge is also coming on court 1 however the rolling has help level out all these bulges as a stop gap before a full rebuild.
• Hot weather causes them to bubble again. City has promised 2-3 rollings next year before
• Next end of season they will go club to club to take measurement of lights as well. The best thing is for them to go to LED . better lighting and lower costs. I will be talking to them in next 4-6 weeks.
• We did buy equipment this year. Next year it is not anticipated we will need equipment for the court as we have spare rollers
• Miles asked who benefits from led use. GMTC pays less to the city and for city we use less
• The cost of the renovation will be 200k – our cost is $100k . They also plan to do the fence.
• Peter wants to paint the clubhouse next year – he will need volunteers – responsibility is 50-50 with city only if contract. If contract the cost will be $4000 this way. Alternatively, it will cost us $500 for paint if we use volunteers .
• The last court resurfacing cost $7000. This was done 6 years ago. We will try to spread new resurfacing over longer. Unionville court lasted 9 years
• Jane asked is it typical for court to last only 5 years. Was it just that it wasn’t done well – fiberglass was used and wasn’t effective
• Peter: They can cut branch to tree base to help alleviate roots. I will sit down with forestry
• Peter – Please note that previous effort was a resurface, next year effort is a rebuild
6. Intercounty Report – Chelsea
• In Chelsea absence Giri gave a brief report.
• A and C teams went to the playoffs
• Ladies league did well also.
• The score board went missing – if a new one is bought – the recommendation is for there to be a sign out procedure.
7. Communications Updates – Janie
• This year we move to new hosting.
• A calendar was added to help with communicating when court is already booked or free.
• Next year we will use 4 dedicated emails so board members will not be using personal email for club affairs.
• We may consider doing a website facelift next year. Will cost the club unless someone in the club has this skill and volunteers to complete.
• We would like to promote our presence on Instagram and Facebook in hopes of attracting more members for next year.
• Overall, the website is 100% functional for next session.
8. Motion to continue 2023 president, city liaison, secretary and treasurer position holders for 2024 for purposes of stability and facing court resurfacing task with city of Markham.
• Motion approved and seconded by Peter and Catherine.

10. Any volunteers for Membership or Grounds
• Grounds – no volunteers identified – Miles suggested we split up duties among board. Janie emphasized that we need to hire someone to clean the clubhouse – it is too important to leave to someone to do haphazardly. Giri noted that he is going to reach out to the church to see if their Janitor is interested.
• Membership – Sheila said she can help out here – given no volunteer for this.
11. Shoe Tags
• Next year we will be heavily enforcing shoe tags. Anyone without one will either have to pay a guest fee or be ejected from the courts.
• Members will have to understand they will have to pick up the tag. We will post certain days when tags can be picked up. After 6 weeks everyone should have a tag.
• (If we receive cash or cheque for membership, it must be accompanied by a form so we can track origin)
12. Tennis Ladder
• Jane would like to try this next year and will take lead for administration.
• Wayne remarked he has seen ladders fail in past but is willing to help Jane organize
• Sheila and Miles also indicated they can help. Mile
13. Recognitions
• Danny and Jennifer (absent) – gift bought to recognize their volunteering to clean the clubhouse (especially before intercounty) due to the lack of paid owner for the role.
• Michelle and Peter – each received a certificate recognizing their volunteer contributions to the club.
14. Other Business
• Miles – has GMTC every considered having a bubble. Given peanut plaza has 1500 on waitlist to join can we not tap into this.
• Peter – costs are high and 24 years ago we had investors willing to pay for it and the church shut it down. Not sure much would change if we investigated this again.
