1. Meeting called to order : 7:10

2. Minutes of the 2023 AGM
Motion to Approve raised by Giri. Seconded by Peter and Nick

3. Presidential Address – Giri
• Giri started by announcing the 50th Anniversary of Naqi with the club – he was the founder – also presented Naqi with a bottle of wine to commemorate the occasion.
• Naqi addressed the other honorees before him: Chris Moss, Naqi dad, Peter
• What went well:
• Round Robin – was well attended as usual – thanks to Wayne for a continued good job
• A team went to playoffs B and C had honorable mention
• Intramural – Jane & Shaza – thank you for running doubles tournament – bottle of wine was bought as a gift for them – Giri to contact them outside of the meeting to present.
• Term deposit – 80k – quite solvent – interest 4 low 5.a bit
• Wayne is coming back – 2 years contract – with condition – all those taking lessons must be a GMTC member first
• Nick – Also said those taking lessons have to be a member for club liability reasons
• Intercounty – many complaints about unfair team selection – next year we need an intercounty committee to review and address concerns and bring findings back to board.

4. Year End Financial Statement – Kunal
• Someone asked if there is any way to reduce the fees – go to estatements – PayPal is expensive – response from Giri and Kunal – people trust it is why we continue to use.
• Warren – If you go over 30k in revenue – you need to collect HST – Giri said Jane checked it and we are still under. Warren said he can work with Kunal on assessing if GMTC needs to worry about HST.
• Naqi asked why the surplus on one statement does not match the other … response – the treasurer before is responsible for this – Kunal just displayed numbers from previous treasurer.
• Janie – said she pays to be on intercounty team – no motion to adopt that at GMTC to make money – however the intercounty committee can look at whether this makes sense
• Motion to make account digital raised by Giri –seconded by Peter and Nick.
• Motion to approve financials raised by Giri – Peter and Nick.

5. City Liaison and Grounds
• New courts coming – was to start the first week of oct – all quotes went way over budget
• City has to review budgets – will not be finalized until Oct 8
• We will get new courts and fence with the rebuild plan
• This weekend we will remove screens and divides – need 8 volunteer – Nick is one
• Nets will stay on for a day before construction.
• Costs – we don’t know yet – we had to submit a stat that said we are financially solid
• Lights will not be done in 2025 but in 2026 – but they will clean them next year
• Squeegees – do not stand on them – ruins them -5 rollers bought last year at 90 each – all were destroyed and will need to be replaced for 2025
• Club house – need to paint exterior – fading – needs to
• 3000 will be required for new windscreens next year
• Tennis playing this season may continue to mid Oct
• Cleaning of club house worked well as this year we hired cleaners
• Chelsea – how can we use blower to blow the court if it is locked. Locked to keep secure.
• Warren – how does the public get access to the court if they don’t have the code
• Peter – years ago we hired monitor to sit in for the public hours – no one came

6. Intercounty Report – Chelsea
• A team – made it to quarter final
• B team – stayed in York region 5th
• C team – move to north Toronto division – didn’t make it to playoffs but in 3rd place
• Chelsea said she will poll the captains if they want to stay in same location – Peter challenged that since some areas are closer to home than others, a division change needs to be a team decision not just the captain’s decision.
• Naqi added that intercounty officials decide which division the team will play in.
• Given court availability Chelsea recommends a B team if there is so much interest
• Naqi – need 18-20 members to form a team – also need a captain – need 8-10 ladies
• Dorin – we can’t just put a B team in – usually they get promoted based on performance
• Kunal – asking if we can do 2 C teams – Chelsea and Naqi concerned about court time with existing A & C shared court time on Thursday.
• Giri – noted that GMTC can’t be seen having Parties – i.e. food, dinner and food distribution on a regular basis. We are NOT licensed for this type of activity. This type of activity will result in city needing to visit us to review our club house etc. regularly. Giri assured city that we only have club related BBQ directed at member socials (e.g. Racquet trials) and fundraiser events (eg for cancer care). An outdoor event with no drinks served. The city gave us a pass on the basis of the above exception(s) as being allowed.

7. Communications Updates – Janie
• No major updates.
• Danny said he didn’t get emails. Peter indicated new email system had most going to GMTC monitored by Michelle
• Michelle noted that next year the plan is to get a GMTC website update that includes not only tracking memberships but enrollment in summer camp, after school or clinics, as well as court booking. Giri to arrange for demo with OTA club shark and any other options.
• Motion to change this board role to Webmaster & Membership raised by Michelle seconded by Giri and Laura.

Grounds (Vacant – was not filled at AGM)
• Sunah was absent at meeting due to a family emergency. Intercounty role defaulted to Chelsea.
• Michelle read out the responsibilities of grounds – Chelsea said the duties were overwhelming and might deter people from taking it on – Peter said it is what it is – that is what he has been doing; Nick and Miles agreed to pitch in under the direction of Peter.
• Motion to approve the 2025 Board raised by Giri – seconded by Peter and Chelsea

9. Other
• Warren advised if signs can be posted so other members know what to do or not to do with the squeegees – Miles also recommended using a QR code to pull up instructions. It was also noted that rollers should be hung up.
• Other business: Courts can be used to Oct 15 – screens to be taken off week before.
• Bridge – Warren asked if anyone interested in playing in winter – Peter remarked he is a member at a senior’s club. Anyone interested can reach out to Warren directly.
• Naqi asked How did the numbered tags work out – Giri indicated the numbers were to see who is coming in and out – and prerequisite for court booking which we didn’t implement this year. It was thought better to use shoe tags in booking rather than names. Yet to be seen based on how the new system will work.
• Last meeting – we will discuss having adult tags and juniors
• Is the comment section used in current booking setup – Naqi books for his team and puts their email in this note – Janie confirmed that it is used – but may not be relevant for new system
